Document & Production Scanners in Singapore
In short: A document scanner feeds loose sheets through rollers at speed. The right one is chosen by daily page volume: entry-level ADF under 1,000 pages a day, desktop duplex to 3,000, Ricoh fi-series production to 30,000, and InoTec SCAMAX floor-standing units above that — up to 300 ppm. Micrographics Data supplies InoTec (made in Germany) and the full Ricoh fi-series, with installation, capture-software configuration and local service.
The same scanners run our own bureau, so the recommendation comes from operating them daily rather than from a datasheet.
Which scanner for how much paper
Pages per day decides the class. Originals — stapled, mixed-size, fragile, bound — decide the feeder and whether you need a flatbed alongside.
Bureau and enterprise backfile
Service bureaux, banks, insurers and government agencies converting decades of boxed records.
Floor-standing, up to 300 ppm, built in Germany for continuous shift work.
Production scanning, 3,000–30,000 pages/day
Records departments, hospitals and engineering firms running daily batch capture.
Large hoppers, ultrasonic double-feed detection, paper-protection sensing.
Departmental, up to 3,000 pages/day
Clinics, HR, finance and branch offices capturing paper as it arrives.
40–90 ppm duplex, compact footprint; fi-7300NX scans to the network with no PC.
Mixed bound and loose originals
Archives and offices with stapled files, passports, bound registers and fragile pages.
ADF plus integrated flatbed, so bound and delicate items never go through rollers.
A3 and oversize sheets
Engineering, architecture and land-survey offices with drawings and large registers.
Native A3 duplex feeding rather than stitching two A4 halves.
ID, passports and front desks
Reception, onboarding, clinics and compliance teams capturing identity documents.
Booklet and card feed paths, compact enough for a counter.

All models by class and throughput
Throughput figures are manufacturer ratings at A4 landscape, 200–300 dpi; real-world rates depend on originals and image settings. Ask for the datasheet of any model.
Government agencies, statutory boards and public universities procure through GeBIZ, where Micrographics Data is a registered supplier. Tender-ready specifications and compliance statements are supplied on request.
We quote both ways
A continuing day-forward scanning programme with trained staff justifies buying. A one-off backfile of boxed records is almost always cheaper and faster through our bureau, which runs these same scanners in shifts.
Buying a document scanner in Singapore
Bound volumes need a book scanner, not a feeder — see Book2net and CZUR.
Which document scanner do we need for our volume?
Under 1,000 pages a day, an entry-level ADF such as the Ricoh fi-8040 is enough. Up to 3,000, a desktop duplex like the fi-8150 or fi-8190. From 3,000 to 30,000, a production scanner — Ricoh fi-7900, fi-8930 or fi-8950, or an InoTec SCAMAX 3x1. Above that, InoTec SCAMAX 6x1 or 8x1 floor-standing units rated up to 300 ppm.
What is the difference between InoTec and Ricoh?
Ricoh fi-series covers entry-level to heavy-duty desktop and mid-floor scanners and is the volume workhorse for offices and departments. InoTec SCAMAX is a German-built production range designed for bureau-grade continuous running — heavier transport, larger feeders and higher duty cycles. Bureaux and national-scale programmes generally specify InoTec; departments specify Ricoh.
How is a document scanner different from a book scanner?
A document scanner pulls loose sheets through rollers, so anything bound, stapled or brittle must be removed from the feed path. A book scanner images from above onto a cradle, leaving the binding intact. Scan loose paper on these; scan bound volumes on a Book2net or CZUR.
Do we need a flatbed as well as a feeder?
If your files contain stapled sets, passports, bound registers, receipts or torn pages, yes — the flatbed handles what the ADF should not. Ricoh fi-7700, fi-8290, fi-8270 and fi-8250 combine both in one unit; the fi-70F is a standalone compact flatbed.
What is double-feed detection and why does it matter?
Ultrasonic sensors detect two sheets travelling together and stop the scan, so pages are never silently skipped. For records with legal or audit value this is essential — it is the difference between a complete file and a gap nobody notices for years.
Do you install, train and service in Singapore?
Yes. Delivery, installation, capture-software configuration and operator training are carried out by our technicians in Singapore, with warranty, consumables and preventive maintenance handled locally.
Buy a scanner or outsource the scanning?
Buy for ongoing day-forward capture where documents stay in the building. Outsource a one-off backfile — our bureau runs these same scanners in shifts with indexing and QC, which is normally faster and cheaper than staffing it yourself. We quote both.
