AI Business Document Information Workflow Solution

In short: Micrographics Data connects your scanned and incoming finance and HR documents to automated workflows. AI reads each document, extracts the key fields, routes it for approval and passes it to the accounting, ERP or HR system you already use, with a full audit trail.

The Singapore gap

Scanned is not the same as connected

Most corporate scanning projects end with searchable PDFs in a shared drive. Staff still re-key invoice totals, chase approvals by email and track HR document expiry dates in spreadsheets. Off-the-shelf AI tools rarely close this gap on their own, because they are not wired into your approval rules, your systems or your retention obligations.

23.4%

of Singapore SMEs used AI in 2025, against 70.4% of larger enterprises.

28.3%

of AI-adopting enterprises customised AI tools for their own needs. Close to nine in ten used off-the-shelf tools.

From scanning to workflow

Four phases, each one useful on its own

If Micrographics Data has already scanned your records, phase 1 is done. Each later phase is scoped, delivered and measured separately, which also suits grant applications made one activity at a time.

01

Digitise

Back-file scanning, indexing and OCR of existing finance and HR records by Micrographics Data.

02

Capture and classify

AI document processing reads new and scanned documents, extracts fields and checks them against your data.

03

Automate the workflow

Approval, exception and follow-up steps are designed around how your teams work, with notifications and dashboards.

04

Integrate and report

Results flow into your accounting, ERP, HR or CRM system, with reporting on volumes, turnaround and bottlenecks.

What the solution includes

Built around your business, not a single tool

Micrographics Data starts from your documents, capture and retention rules, then designs the workflows and integrations around how your teams already work.

AI document processing

Classification and field extraction from invoices, forms and letters, with human review for low-confidence results.

Workflow automation

Approvals, reminders, escalations and hand-offs between finance, HR and operations teams.

Systems integration

Connects your existing accounting, ERP, HR, CRM and email systems into one coordinated flow.

Custom portals and dashboards

Web-based internal portals for submitting, tracking and approving documents.

AI search and retrieval

Ask questions of your scanned archive and get answers linked to the source document.

Data and reporting

Clear views of document volumes, cycle times and where work is waiting.

Why Micrographics Data

Micrographics Data is a GeBIZ-registered Singapore company, established in 1989, that scans, indexes and preserves records for financial institutions, government agencies and corporate organisations. We already know your document types and retention rules, so the workflow is designed from the record outward.

What is an AI business document workflow solution?

It is a system that reads incoming and scanned documents with AI, extracts the key fields, routes each document to the right person for checking or approval, and passes the result to the business systems you already use, such as accounting, ERP or HR software. Every step is logged so the record stays auditable.

We already scanned our records. Why do we need workflow automation?

Scanning makes documents findable. It does not stop staff re-keying invoice data, chasing approvals by email or tracking HR document expiry dates in spreadsheets. Workflow automation is the next phase: it puts the scanned and newly arriving documents to work inside your processes.

Is AI document workflow automation supported by an Enterprise Singapore grant?

Possibly. Since 30 September 2026 the EDGE grant has replaced EDG, PSG and MRA for new applications. Enterprise Singapore states that each company has an annual EDGE cap of S$100,000, of which up to S$30,000 can be used on single-function digital solutions, integrated enterprise systems and selected automation activities. Support levels vary by activity. Eligibility and approval are decided by Enterprise Singapore, and you must apply before committing to the project.

Which documents are best to automate first?

High-volume, rule-based documents with a clear owner: supplier invoices, purchase and delivery orders, expense claims, employee onboarding packs and HR forms. They have predictable fields, a known approval path and measurable turnaround times.

Does it work with our existing accounting, ERP or HR software?

That is the aim. The workflow is designed around the systems you already run, connecting them through their available integrations rather than replacing them. Where a connector does not exist, a small custom integration or portal can be built.

How does this relate to GST InvoiceNow?

IRAS will require all GST-registered businesses to submit invoice data through InvoiceNow, phased from April 2028 to April 2031. InvoiceNow covers new electronic invoices. Paper and scanned invoices issued before your go-live date still have to be retained, and an automated workflow can handle both the archive and the new digital flow.

Is our data kept in Singapore and compliant with the PDPA?

Data residency and PDPA requirements are set at scoping. The deployment model, hosting location, access rights and retention rules are agreed in writing before any document is processed.

How much does it cost?

Cost depends on the processes, document volumes, systems to connect and deployment model. Micrographics Data prepares a scoped proposal after a discovery session. Request a quote to start.

We map it in a discovery session, scope the first phase and prepare a proposal you can use for an EDGE grant application.
