Future-Proof Your Documents

Digital files are fast to search and easy to distribute — but they depend on hardware, software and formats that eventually become obsolete. Our digital preservation approach pairs day-to-day digital access with an archival microfilm master that survives regardless of what happens to the digital environment around it.

Hybrid preservation questions

What does "future-proof" mean for documents?

A record is future-proof when it can be read without depending on a specific device, software or file format. Digital files need periodic migration; archival microfilm needs only light and a lens. A hybrid strategy keeps a digital copy for access and a microfilm copy for survival.

How long does archival microfilm last?

Silver-gelatin polyester microfilm processed and stored to ISO 18901, 18917 and 18911 has a life expectancy rating of 500 years. Digital storage media are typically refreshed every 5–10 years and formats migrated as software changes.

Is microfilm legally acceptable in Singapore?

Microfilm has a long history of acceptance as an evidential copy by Singapore courts and agencies where the imaging process is documented and certified. Micrographics Data provides certificates of authenticity with every microfilming job; confirm requirements with your legal or compliance team.

Can we convert existing digital files to microfilm?

Yes. An archive writer exposes PDF, TIFF and JPEG images directly onto 16mm or 35mm film — computer output microfilm (COM). Micrographics Data offers this as a service or supplies archive writers for in-house use.

Which records justify a hybrid approach?

Records with retention periods over 10 years or with permanent value: title deeds, board minutes, patient and personnel master files, engineering drawings, registers, court records and heritage collections. Short-retention operational records rarely need it.

How do we get started?

Send a summary of record series, volumes and retention periods. We propose which series to digitise only, which to microfilm as well, and quote both service and equipment options.
