HR Records Decommissioning for a Flavour & Fragrance Manufacturer
Share
Micrographics Data helped a flavour and fragrance manufacturer in Singapore retire its paper HR archive. We scanned 11 cartons of personnel and occupational-health records (about 22,500 images), renamed every file to the client's convention, and then securely destroyed the paper originals once the client had verified the files.
Scope and workflow
The archive included personnel files, statutory health-check and audiometry results, and vendor agreements. Sample folders were approved before full production. Identity documents were rescanned at higher settings after client feedback. Resigned staff files were renamed by year and name so that HR can find them quickly.
Verification before destruction
Originals stayed in sealed cartons until the client confirmed the digital set. Only then did we destroy them under a documented, authorised destruction instruction. Files were delivered as PDF/A (ISO 19005) on encrypted media, following ISO 15489 records-management practice and the PDPA.
Frequently asked questions
Can scanning and destruction be done in one engagement?
Yes. Destruction starts only after the client verifies the files and gives written authorisation for each box.
Can files follow our naming convention?
Yes. We work from your index list and confirm the naming on a sample first.
